Job Title: Admin Support Contract Duration: 12 months contract Working Hours: Mon to Fri, 9AM-6PM (Default) Location: MBFC Key Responsibilities 1. Event Management Support • Provide comprehensive logistical and administrative support for mega fund-raising events and associated meetings. • Assist in the planning of event outlook, including budget estimation and obtaining necessary internal approvals. • Coordinate effectively with internal teams and external vendors, ensuring timely follow-ups post-weekly discussions. • Provide essential on-site support during event days to ensure seamless execution. • Prepare event materials, engaging presentations, and detailed post-event summaries. 2. Community Outreach Logistics • Support the coordination and logistical arrangements for various community outreach events and initiatives. • Assist in the planning and execution of activities designed to engage the community and promote key programs such as financial literacy. • Help manage resources and coordinate volunteers for successful community events. • Contribute to the tracking and reporting of the impact and effectiveness of community engagement efforts. 3. Marketing Support • Manage the production and distribution of the quarterly eNewsletter. • Support content management on POSB social media accounts in close collaboration with the Marketing team. • Maintain and update team webpages, ensuring all information pertaining to community outreach and events is factually correct and current. 4. Administrative Support • Perform a wide array of general administrative duties to ensure efficient departmental operations. • Process and meticulously track invoices, expenses, and procurement requests, strictly adhering to internal policies and procedures. • Manage office supplies and equipment, ensuring consistent availability and proper functioning. • Handle ad-hoc deliveries, including receiving and dispatching items to partners as required. Requirements o Diploma or Bachelor's degree in related field. o Previous experience in an administrative support role, preferably within a corporate environment. o Excellent organizational and time management skills, with the ability to prioritize tasks effectively in a busy environment. o Strong communication and interpersonal skills, both written and verbal, for effective interaction with internal and external stakeholders. o Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
