We are seeking a highly organized and proactive Administrative Assistant to join our dynamic team. In this pivotal role, you will be the backbone of our daily office operations, providing essential support to our staff and management. The ideal candidate isa resourceful problem-solver with excellent communication skills and a keen eye for detail, who thrives in a fast-paced environment. Key Responsibilities Office Management &Operations: • Serve as the first point of contact for visitors and callers, creating a welcoming and professional atmosphere. • Manage incoming and outgoing mail, packages, and courier services. • Maintain office supplies inventory and place orders as needed. • Ensure common areas, meeting rooms, and kitchen facilities are tidy and well-stocked. • Coordinate with vendors and building management as required. Administrative Support: • Provide comprehensive administrative support to [a specific team, manager, or the entire office]. • Schedule and coordinate meetings, appointments, and travel arrangements. • Prepare and edit correspondence, communications, presentations, and other documents. • Organize and maintain paper and electronic filing systems. • Handle sensitive information with the highest degree of integrity and confidentiality. Meeting & Event Coordination: • Arrange and set up meeting rooms, including audio/visual equipment and catering. • Prepare agendas, take minutes during meetings, and distribute them to attendees. • Assist in planning and executing company events, luncheons, and team-building activities. Data & Record Management: • Assist with data entry, expense reporting, and time sheet tracking. • Help in the preparation of regularly scheduled reports. Qualifications& Skills Required: • Proven experience as an Administrative Assistant, Office Admin Assistant, or relevant role. • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). • Excellent written and verbal communication skills. • Strong organizational and time-management skills, with the ability to prioritize tasks effectively. • High level of discretion and confidentiality. • A proactive and "can-do" attitude with strong problem-solving abilities.
