About this role
Key Responsibilities1. Reception & Visitor Management• Manage and oversee the primary school reception area. • Assist students, parents, contractors, and other visitors arriving in person. • Answer phone inquiries and route messages or coordinate appropriately with school staff. • Attend to contractor requests and contact Operations Support Officers to support school activities as needed. 2. Deliveries & Access Control• Take charge of receiving all incoming deliveries at the reception counter, including parcels and mail from suppliers, parents, and students. • Manage the distribution of school keys to authorized personnel and handle the operation of key presses. 3. Student Care & Administrative Support• Handle student/parent requests under staff guidance, including processing early dismissals, checking financial assistance application statuses, and managing admissions/releases from the school sick bay. • Maintain and update student movement logs (e.g., sick bay visits, early dismissal logs). • Provide photocopying assistance (e.g., student NRIC registration) and distribute certificates or consolidated documents. • Manage student requests for minor logistics such as school uniform items, bandages, and ice-packs. • Collect and forward student assignments, surveys, and administrative returns to appropriate staff. 4. General & Emergency Duties• Perform simple data entry and general administrative tasks (such as document shredding or helping with temperature-taking exercises) as assigned by School Leaders or the Administration Manager. • Handle lost and found items in accordance with Ministry of Education (MOE) policies. • Actively participate in school emergency preparedness exercises (e.g., fire drills, lockdown drills) and handle designated safety equipment like walkie-talkies or emergency mobile phones. Job RequirementsQualifications & Experience• Education: Minimum of GCE 'N' Level Certificate with 3 or more passes. • Experience: At least three (3) years of relevant working experience in front desk, administrative, or customer service-related roles. Prior experience working in a school environment is highly preferred. Skills & Competencies• Language: Must be proficient and able to converse in English. The ability to also speak either Chinese, Malay, or Tamil is highly preferable to communicate with a diverse pool of parents and visitors. • Technical Literacy: Proficient in using Microsoft Office (Word, Excel, etc.) for basic data entry and document consolidation. • Interpersonal Attributes: Must possess a pleasant demeanor, deliver excellent customer service, and demonstrate the ability to work effectively both independently and within a team environment.
