About this role
We are seeking a professional, reliable, and service-oriented General Administrative Staff (Receptionist) to support the daily operations of an educational institution. The successful candidate will serve as the first point of contact for students, parents, and stakeholders, ensuring a welcoming environment and smooth administrative workflow. Key ResponsibilitiesFront-of-House & Communication • Concierge Services: Manage the reception desk by attending to phone calls and walk-in visitors (pupils, parents, and the public) with professionalism. • Digital Correspondence: Monitor the school’s generic email account, forwarding queries to relevant officers promptly; use messaging apps to send reminders and event updates to parents. • Stakeholder Engagement: Call and confirm the attendance of parent volunteers for school events and activities. Administrative Support • Mail & Logistics: Record and distribute all incoming mail and correspondence; manage stocktake monitoring for school articles and submit records for end-of-term verification. • Documentation: Handle general clerical tasks such as typing, filing, and preparing documents. • Financial & Transport Coordination: Serve as the Ad Hoc Bus Booking Coordinator for external activities, including filing forms and performing monthly verification of bus payments. • Record Keeping: Print monthly attendance records for CCA instructors and contract staff; save transport approval forms to shared digital folders. Student Welfare • First Aid: Render basic first aid to students (e.g., issuing plasters) and record all student injuries via the Unwell/Injured Student management system. • Resource Management: Assist in packing learning resources and booklets for students. Requirements & Qualifications• Education: Minimum GCE ‘O’ Level certificate. • Experience: At least 5 years of experience in an administrative or reception role. • Communication: Excellent command of written and spoken English. • Technical Skills: Proficient in Microsoft Office applications and comfortable using messaging platforms/online forms. • Soft Skills: A warm, approachable personality; comfortable interacting with children and diverse stakeholders. • First Aid: Ability to perform and record simple first aid treatments.
