Human Assistant Key Responsibilities Manage day-to-day HR operations for the security workforce in compliance with company policies and regulatory requirements. Maintain and update employee records, personnel files, contracts, and HR documentation accurately and confidentially. Prepare employment-related documents including employment contracts, renewal letters, confirmation letters, disciplinary notices, and termination documents. Process recruitment and onboarding activities, including application screening and coordination of interviews. Manage employee lifecycle matters such as confirmations, transfers, resignations, and exits. Ensure compliance with Ministry of Manpower (MOM) regulations, Police Licensing & Regulatory Department (PLRD) requirements, and security industry standards. Administer work passes, statutory submissions, payroll-related documentation, leave records, and public holiday allocations. Vet timesheets and ensure payroll accuracy in collaboration with the Finance department. Respond to HR and payroll-related queries from employees and Finance. Handle disciplinary matters and investigations, including issuance of warning letters and documentation. Coordinate mandatory training, refresher courses, and licensing renewals for security personnel. Maintain accurate training and compliance records for audits and inspections. Support annual performance appraisal exercises and grading in accordance with Progressive Wage Model (PWM) and industry requirements. Assist supervisors in setting KPIs and performance evaluation criteria. Maintain performance management records and ensure readiness for regulatory audits. Assist in insurance claims processing and surveys required by government agencies. Submit and reconcile expense reports where required. Maintain an organized filing system and ensure adherence to documentation standards. Develop and improve administrative systems and HR processes for operational efficiency. Handle sensitive and confidential information with professionalism and discretion. Participate in task forces, committees, and ad-hoc projects as assigned by management. Perform any other duties assigned by management.
