Job Overview An Operation Executive/Assistant for Carpark and administrative operations play a crucial role as a backbone of the organization, ensuring every operational process, schedule, and document is handled with unwavering precision and excellence. This position involves providing comprehensive support to executives, teams, or departments by managing carpark, the central administrative tasks, handling communication, and maintaining records. Delivering an array of operational facilities management encompassing administration, tenant operations, carpark management, annual audits, and monitor online system ensuring the seamless operations for MCST. Successful candidates will possess strong organizational skills, impeccable attention to detail, and the ability to multitask in a fast-paced environment. This role requires professionalism, discretion, and excellent communication skills to support business operations effectively. Whether assisting with scheduling, data entry, or office management, the Administrative Assistant is an essential contributor to the organization’s success. Scope of Responsibilities The role is responsible for supporting daily carpark and facilities management operations and ensuring smooth administrative functions. Key duties include: Communication & Coordination • Serve as the primary point of contact for tenants regarding car park cum facilities-related issues, exuding professionalism and charisma. • Facilitate effective communication within the team and across departments. • Address tenant concerns promptly and effectively to maintain unparalleled levels of satisfaction. • Handle inquiries and correspondence with eloquence, diplomacy, and professionalism. Carpark Operations &Administration • Understanding of the carpark management and system to provide a seamless service to public, tenants, subsidiaries proprietors and stakeholders across both Government and non-Government agencies. • Ensuring utilities and ad-hoc billing, monthly reports, and refund on time with supreme accuracy. • Preparation of licensed agreement managed under MCST with the knowledge of BMSMA. Ensuring the agreement is meticulously crafted and duly executed, stands as an unequivocal testament to the mutual accord between the Lessor and the Lessee. Working very closely with the Operation and the Leasing teams for the preparation. • Assist daily carpark cum office operations, ensuring efficiency and adherence to company policies and BMSMA. • Manage office resources, including supplies, budgets, and vendor relationships. • Ensure compliance with company regulations, legal requirements, and confidentiality protocols. • Maintain and update filing systems, databases, and office records for easy access and efficiency. • Monitor and order office supplies to ensure a well-stocked and organized and cleanliness of workspace. Task Management & Problem-Solving • Juggle multiple responsibilities with unshakable composure and efficiency. • Identify inefficiencies in administrative processes and implement transformative solutions. • Uphold strict confidentiality and compliance with corporate policies and procedures. • This role requires strong organizational skills, time management, and adaptability to support the team and enhance business efficiency. REQUIREMENTS: • Candidate should possess at least a N’ Level/ O’ Level /A level/ Nitec/ Diploma / Professional Certificate in any field. • Team player and motivated individual. • Resourceful, able to work independently with minimal supervision. • Good interpersonal skills. • Confident in handling administrative work using – Word/Excel, computer system and mobile apps. • Ability to multi-task and prioritize work. • Knowledge of BMSMA or working experiences with MCST.
