General Summaryof Responsibilities: TheAdministrative Assistant is responsible for providing administrative andclerical support to ensure the smooth operation of the property managementoffice. This role involves handling documentation, coordinating communications,and assisting with daily office tasks to support the Condo Manager and PropertyExecutive. KeyResponsibilities: 1.Administrative Support • Manage and organize office documents, reports, and correspondence. • Prepare and maintain records of property-related documents, contracts, and invoices. • Assist in drafting letters, notices, and meeting minutes for management and residents. 2.Communication & Customer Service • Handle phone calls, emails, and inquiries from residents, vendors, and contractors. • Assist in distributing notices, circulars, and announcements to residents. • Coordinate meetings, appointments, and schedules for the Condo Manager. 3.Financial & Billing Assistance • Assist in tracking payments, maintenance fees, and financial transactions. • Help in preparing invoices, receipts, and reports for accounting purposes. • Coordinate with the finance team to ensure accurate record-keeping. 4.Office Operations & Coordination • Maintain office supplies and ensure proper filing systems are in place. • Support the Condo Manager in coordinating property maintenance and repair requests. • Work closely with property executives, technicians, and security teams to facilitate smooth operations.
