Job Summary Support daily centre operations by managing client records, processing financial documents, coordinating admissions logistics and liaising with internal and external parties to ensure efficient administrative workflows. Responsibilities • Maintain and update client databases and case files accurately while ensuring confidentiality • Record and document Donation-in-Kind items systematically for proper tracking • Monitor and update inventory and fixed asset listings regularly • Prepare payment vouchers, staff claims, and supporting documents for timely processing • Accurately record payment vouchers and staff claims in the finance summary tracker • Raise and track Purchase Requisitions, ensuring procurement requests and approvals are properly managed • Coordinate admissions-related administrative tasks, including arranging transport and meal schedules • Provide general administrative support to facilitate smooth daily centre operations • Liaise effectively with internal departments, vendors, and external parties on administrative and operational matters • Ensure proper filing, record keeping, and compliance with organisational procedures and guidelines Preferred competencies and qualifications • Relevant administrative or clerical experience preferred; willingness to learn accepted • Proficiency in Microsoft Office applications, including Word, Excel and Outlook • Prior experience in social service or healthcare settings will be an advantage • Ability to multi-task and work independently in a fast-paced environment • Strong organisational skills with attention to detail for accurate record management • Good interpersonal and communication skills to collaborate with team members • Positive attitude and team player mindset to support centre operations
