Role Objective The Administrative Assistant will support the school’s administrative functions by managing the reception counter, handling printing/photocopying requirements, and performing general administrative tasks to ensure smooth school operations. Key Responsibilities • Front Desk Management: Attend to walk-in and call-in inquiries from internal and external customers, including parents inquiring about financial assistance. • Logistics Support: Receive goods procured by the school and maintain daily records for all incoming mail and deliveries. • Printing Services: Provide printing and photocopying services for worksheets, circulars, notes, and other materials required by staff and students. • Staff Coordination: Assist the Relief Team in monitoring daily attendance for both permanent and contract staff. • Student Support: Assist the Discipline Committee with administrative tasks regarding student latecomers, detention classes, and the safekeeping of student mobile phones or lost and found items. • General Admin: Perform any other front desk or administrative duties as assigned by the Administration Managers. Working Hours • Monday to Thursday: 8:00 am to 5:30 pm (including a 1-hour lunch break). • Friday: 8:00 am to 5:00 pm (including a 1-hour lunch break). • Off Days: Service is not required on Saturdays, Sundays, and gazetted public holidays. Requirements • Education & Experience: * Fundamental knowledge of customer service, office administration, and clerical tasks. • Preferably at least 3 years of experience in customer service and office administration, specifically in a school setting. • Communication: Proficiency in both spoken and written English. • Technical Skills: * Proficient in IT word processing and spreadsheet applications, specifically MS Word and Excel. • Skilled in operating office equipment such as photocopiers, laminating machines, and binding machines. • Personal Attributes: * Meticulous with a strong eye for detail and the ability to work independently. • A team player with a pleasant disposition and strong interpersonal skills. • Maintains professional conduct when interacting with stakeholders and aligns with the school's core values.
