About this role
Job Scope • Process requests for new user account creation and amendments to existing user access for the company portal and dashboard. • Maintain proper documentation to support new user onboarding and user access changes. • Assist in the preparation of monthly user audit reports. • Provide first-level support in troubleshooting company portal access issues. • Perform basic analysis using Power BI, Excel, or AI tools to support monthly and quarterly reporting requirements. • Follow up with relevant divisions to obtain inputs on identified areas for improvement. • Collate and consolidate reporting content from various stakeholders for monthly and quarterly CX reports. • Coordinate the booking of facilities and IT support services for quarterly presentation sessions. • Ensure meeting venues are properly set up for quarterly presentations. • Manage calendar invitations for quarterly presentation sessions. • Provide note-taking support during quarterly presentation meetings. • Support onboarding arrangements for new hires, including IT account setup and access card processing. • Assist in maintaining and updating the CXSE intranet portal, including platforms such as the CX Playbook and SharePoint. • Monitor and manage the department’s shared mailbox. • Perform other administrative duties and ad hoc tasks as assigned by the supervisor. • Schedule department meetings and arrange for the booking of meeting rooms and necessary equipment. • Update and maintain staff meeting invitation lists. • Collate presentation materials from various stakeholders and prepare consolidated decks for department meetings. • Send email communications to staff groups based on content prepared or guidance provided by the supervisor. Requirements • Diploma or equivalent qualification in Business Administration, Communications, or a related discipline. • Relevant experience in administrative support, reporting coordination, or secretariat duties will be an advantage. • Proficient in Microsoft Office applications, especially Excel and PowerPoint. • Familiarity with Power BI, SharePoint, and AI tools will be an advantage. • Good organizational and coordination skills with attention to detail. • Good written and verbal communication skills. • Able to work independently and collaboratively with multiple stakeholders.
