Looking to contribute to community outreach initiatives that create meaningful impact? Keen to build capabilities across infrastructure management and project coordination? The successful candidate will oversee and coordinate the development and maintenance of heritage trail markers and travelling exhibitions, as well as be involved in the upkeep of the public community galleries to serve the public effectively. As the overall coordinator, the candidate will be responsible for the following: Oversee the development and maintenance by planning schedules and coordinating with contractors for the fabrication, installation, structural maintenance, and cleaning works of the following heritage outreach initiatives: • Heritage Trails (e.g. heritage trail markers, wayfinding signages) • Heritage on the Move exhibitions (e.g. exhibition panels) • Community Galleries and Street Corner Heritage Galleries (e.g. exhibition panels, showcases, general maintenance, annual artefact conservation exercise) This includes the procurement of goods and services, adherence to administrative procedures, and record keeping of work related to the duties listed above Management of end-to-end processes for roves of Heritage on the Move exhibitions: • Liaise with community partners such as schools and commercial venues, including managing the end-to-end process from handling booking queries, conducting site visits with contractors, and preparing procurement and billing paperwork. Management of operations for community galleries • Liaise with various stakeholder groups (such as divisions and contractors) to ensure the general wellbeing and smooth operations of the community galleries. Overall Administrative Support • This includes the development of SOPs and best practices for administration, operations, and maintenance of infrastructure for heritage outreach initiatives. Requirements• Diploma or degree in any relevant field. • Possess project management and/or operations background with at least 2 years of relevant experience. Working knowledge of estates and facilities management will be advantageous. • Team player with proven ability to effectively manage internal and external stakeholders and/or agencies. Takes ownership of tasks with effective communication skills. Able to handle communications with different stakeholder groups internally and with external organisations. • Proven administrative skills, including writing professional emails, preparing paperwork, filing, and record keeping. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint). • Proactive and self-motivated individual who is resourceful, adapts quickly to changing situations, and handles concurrent projects in fast-paced environments. • Experience in government procurement processes would be preferred. • Willing to be on the move for site visits and onsite supervision.
