About this role
We are seeking a dynamic and customer-focused individual to join our Taekwondo school as a Front Desk Administrator. In this role, you will be responsible for both operations and front desk management of all part time front desk. The ideal candidate should have excellent interpersonal skills, be detail-oriented, and thrive in a fast-paced environment. Responsibilities: Administrative & Operation • Class Management: Assist in managing class schedules, ensuring instructors are present, and overseeing the overall flow of classes. • Administrative: Assist with general administrative tasks, such as filing, examination registration, and organising documents • Inventory Management: Maintain an inventory of uniforms and merchandise needed for classes. Compiling of weekly orders for uniforms and other items for students • Facility Maintenance: Oversee the cleanliness and maintenance of the training facility, ensuring it is a safe and welcoming environment for students. • Event Coordination: Assist in organising and coordinating events, workshops, and belt promotion tests • Safety and Compliance: Ensure that safety protocols and guidelines are followed during training sessions. This includes monitoring equipment, first aid supplies, and emergency procedures. Students • Customer Service: Greet and assist students and parents, addressing inquiries, concerns, and providing information about classes and programs. • Scheduling: Manage class registrations, cancellations, and make-up classes, ensuring accurate records and scheduling adjustments. • Payment Processing: Handle fee collections, issue receipts, and manage billing inquiries. • Phone and Email Communication: Answer phone calls, respond to whatsapp and emails promptly, providing excellent customer service. Requirements: • High school diploma or equivalent • Excellent communication and interpersonal skills • Strong customer service orientation and ability to handle various customer interactions • Proficient in using basic computer applications and comfortable with learning new software systems (our CRM) • Detail-oriented and able to manage multiple tasks simultaneously • Positive attitude and ability to work well in a team environment • Prior experience in a customer service or front desk role is a plus • Familiarity with Taekwondo or martial arts is advantageous but not required Technical Information: Our company operates primarily using: • Apple iMac and MacBook computers • Google Sheets • Google Docs • Google Drive and cloud-based file management systems Candidates should be comfortable using these tools or willing to learn. Working Hours: Full-time including evenings and weekends, to accommodate the operational hours of the Taekwondo school. 5 Days Work Week (Includes Saturday & Sunday)Off Days on Weekdays Weekdays (Monday, Wednesday, Friday) 1 - 8pm Weekend 9am - 6.30pm Not required to work on Public Holiday
