12 months contract Salary: $3,000 / month Location: Fusionopolis Way Job Scope The incumbent will support the administration and operations of internship and training programmes, ensuring smooth coordination with internal stakeholders, educational institutions, and external participants. Key Responsibilities 1. Internship Programme Administration • Manage the end-to-end administration of the internship programme • Collate internship applications from various recruitment platforms and share relevant applications with hiring supervisors • Coordinate calls for internship project submissions for scholarship and award schemes • Execute end-to-end processing of internship requests and internal approval workflows within the ERP system • Prepare Certificates of Completion and coordinate distribution with relevant stakeholders • Administer internship feedback forms and maintain proper records • Handle enquiries from hiring supervisors and interns on internship-related processes, including ERP submissions, stipends, onboarding timelines, laptop requests, temporary passes, and leave applications 2. Training Coordination & Operations Support • Training Coordination: Liaise with departments to consolidate schedules and manage training repositories (e.g. SharePoint) • Enrolment & Tracking: Monitor sign-ups and provide stakeholders with status updates • Partnership Management: Manage training partnerships, including agreements, pre-enrolment documentation, and onboarding processes as the main point of contact • Programme Administration: Support training logistics, including participant briefings, room setup, and attendance tracking • Finance & Reporting: Oversee end-to-end billing and process invoices accurately • Undertake any other duties or projects as assigned to support departmental objectives Qualifications and Skills • Diploma or Degree in Business Administration, Human Resource, or related disciplines • Prior experience in administrative, operations, HR, training coordination, or internship management roles would be advantageous • Strong coordination and communication skills, with the ability to manage both internal and external stakeholders • Meticulous and organised, with strong follow-through on operational and administrative matters • Proficient in Microsoft Office applications (e.g. SharePoint, Forms) EA License No.: 96C4864 Reg No.: R25128798 HUANG QIMENG
