About this role
• Responsible for the tracking of project status and metrics. • Assist in the consolidation and distribution of various reports. • Project team members’ activities and Weekly and monthly progress of various projects and business activities. • Responsible for the administration of the Project Portfolio Management tool (PPM) and templates. • Responsible for project financials consolidation, Distributing the previous month’s actual spending to all Project Managers, once the information is received from IT Finance team. • Making sure the Project Managers update the irrespective Project Financial Tracker in time, Making sure the Project Managers update the Consolidate Timesheet for their respective projects. • Making sure the Project Managers submit the Accruals for Hardware, Software, Professional Services (based on mile stone payments), and Other Non-Recurring Costs (travel, training, etc.) • Distributing the Forecasted Spend for the month to all Project Managers, once the information is received from IT Finance team, and obtaining the reasons for variance in actual spending versus the forecasted spending from the Project Managers. • Scheduling the monthly Project Financial Forecast Meeting with IT Finance team and Project Managers, going through the variance and its reason, and the forecasted spend of all projects. • Responsible for collection of data and preparation of reports on the utilization of all enterprise level resources involved in project delivery. • Assist the head of Director of Portfolio Management in scheduling/ coordinating meetings, taking minutes of meeting, documenting and maintaining actions and decisions registers. • Assist the PMO lead in organizing weekly progress, actions, issues and risks review meetings with the core project team. • Prepare monthly newsletters and co-ordinate general communication between the PMO department and all other departments. • Support and implement improvements of processes, procedures and tools. • Coordinate onboarding and offboarding of project resources, including access provisioning, tool setup, and documentation handover for internal and external team members. • Track and follow up on compliance-related deliverables, such as IT security assessments, data privacy reviews, and audit documentation required during project execution. • Support Project Managers in preparing materials for Steering Committee and Governance Board reviews, including slide decks, dashboards, and executive summaries. • Facilitate periodic health checks of projects, using predefined criteria to assess schedule adherence, budget alignment, risk exposure, and stakeholder satisfaction. • Maintain a calendar of key IT project milestones and enterprise-wide initiatives, ensuring visibility and alignment across the PMO and IT leadership. Required Experience: • Minimum 3 to 5 years of experience related to project coordination and management. • Good knowledge and understanding of IT project management life cycle. • Experience in project management and execution, risk management, cost management, and governance. • Experience in project portfolio management tools. • Good understanding of project management principles and methodologies and their relative applications. • Ability to link project management processes and metrics to business return on investment.
