ABOUT THE ROLE We are looking for a highly organized and detail-oriented Project Manager to support the facilitation and management of an ongoing project. The ideal candidate will be a Good communicator with a proven ability to coordinate across multiple teams, track deliverables, and ensure timely completion of action items. KEY RESPONSIBILITIES • Deliverable Tracking: Maintain a comprehensive and up-to-date view of all project deliverables, ensuring nothing falls through the cracks • Action Item Management: Document and assign action items from meetings and discussions, clearly identifying the responsible teams or individuals for each item • Timeline Management: Proactively follow up with respective teams to ensure action items and deliverables are on track and met within agreed timelines • Meeting Minutes: Attend project meetings and accurately capture meeting minutes, including decisions made, action items, owners, and deadlines • Project Tracker Maintenance: Own and maintain a centralised project tracker that reflects the real-time status of all deliverables, progress updates, and follow-up actions from each team member • Stakeholder Follow-Ups: Conduct regular and structured follow-ups with team members to gather progress updates and escalate risks or delays where necessary • Cross-Timezone Collaboration: Work effectively with team members across different time zones, particularly the U.S. • Risk Management: Proactively identify potential project risks and blockers, and work with relevant stakeholders to develop mitigation plans before they escalate • Escalation Management: Know when and how to escalate issues appropriately to senior stakeholders or leadership when timelines or deliverables are at risk • Status Reporting: Provide regular project status updates and reports to leadership or key stakeholders, summarizing progress, risks, and upcoming milestones REǪUIREMENTS • Minimum 3 to 5 years of proven experience as a Project Manager or Project Coordinator • Good organizational and multitasking skills with exceptional attention to detail • Excellent written and verbal communication skills, with the ability to build and maintain Good working relationships across diverse teams • Good interpersonal and influencing skills: the candidate will be working closely with a demanding developer team and must be able to positively engage, motivate, and influence team members to meet their commitments while maintaining a collaborative and respectful working relationship • Comfortable navigating challenging team dynamics with professionalism, patience, and a solutions-oriented mindset • Ability to manage difficult conversations, stay composed under pressure, and bring out the best in team members • Conflict Resolution: ability to mediate disagreements between teams and facilitate constructive discussions to keep the project moving forward • Documentation Skills: ability to maintain well-structured and accessible project documentation beyond just the tracker, including decision logs, risk registers, and change logs • Proficient in project management tools (e.g. Jira, Microsoft Project, or equivalent) • Comfortable working with cross-functional teams • Ability to work independently with minimal supervision • Experience in taking clear and concise meeting minutes • Flexibility to accommodate early morning calls due to U.S. timezone differences NICE TO HAVE • PMP, CAPM, or equivalent project management certification • Prior experience in a similar contract or agency-based role • Prior experience working with software development or technical teams • Agile / Scrum Familiarity: familiarity with Agile methodologies and Scrum ceremonies (e.g. standups, sprint planning, retrospectives) would be highly beneficial given the close collaboration with a developer team
