About this role
Key Responsibilities: Procurement & Invoicing • Verify supplier invoices and match against records • Process payments twice monthly (1st & 16th) • Handle vendor enquiries and payment matters Inventory & Store Management • Receive and track deliveries • Follow up on outstanding or missing deliveries • Maintain inventory records ️ Office Supplies Administration • Monitor stationery and consumable stock levels • Receive deliveries and distribute items to staff Staff Administration • Prepare onboarding kits for new hires • Coordinate staff gifts, souvenirs, ART kits, and masks • Book facilities such as Auditorium, Kaizen Hall, and Black Box Student Administration • Compile meal token lists • Arrange transport and catering for events and activities Ad-Hoc Support • Light pantry upkeep • Raise maintenance requests for faulty items • Support operational tasks assigned by management Requirements: • Strong administrative and coordination skills • Experience in invoice processing and inventory management • Good communication and stakeholder management skills • Detail-oriented and able to manage multiple tasks simultaneously • Proficient in spreadsheets and document management tools • Experience with KRIS / GeBIZ will be an advantage • Team player with a high level of confidentiality and professionalism Ideal Candidate: • Process-driven and organised • Comfortable liaising with vendors and internal stakeholders • Able to meet deadlines and maintain accurate records • Experienced in logistics coordination and administrative support Contract duration: 6 months (15 June 2026 to 14 Dec 2026) Working Arrangement: Monday to Friday: 8 to 5.30pm / 8.30am to 6pm / 9am to 6.30pm (flexible timing available) Location: Choa Chu Kang Salary: $2,580 per month EA License No.: 96C4864 Reg.
