Job Summary The role involves reviewing and managing applications for a company scheme, ensuring submissions meet eligibility requirements, maintaining accurate records, and tracking applications through defined workflows. It also includes coordinating with applicants and stakeholders to provide guidance, clarify information and support continuous improvement through reporting and process enhancements. Responsibilities • Review and assess submitted applications to ensure completeness and compliance with eligibility criteria, documenting findings clearly for internal records • Coordinate with teams to clarify application details and obtain additional information, ensuring timely resolution of queries • Maintain accurate records of application statuses, decisions, and supporting documents using agreed systems to support reporting and audits • Manage application workflow including data entry, tracking, and document management to ensure efficient progression through each stage • Prepare reports, summaries, and analyses on application trends and outcomes to support data-driven decision-making for the scheme • Support process improvements by contributing suggestions and assisting with adoption of revised procedures and tools • Respond to applicant inquiries by providing clear guidance on submission requirements and timelines aligned with scheme guidelines • Liaise with internal teams and external stakeholders to facilitate evaluation processes and resolve issues during assessment • Coordinate briefing sessions or workshops for stakeholders, including logistical support and preparation of materials • Build and maintain strong relationships with arts and heritage organizations, community groups, and event organizers to support engagement with the scheme • Provide one-on-one consultations to help applicants understand guidelines and tailor proposals for better alignment with objectives • Review draft applications and offer constructive feedback to improve alignment with scheme objectives and eligibility requirements • Develop clear and accessible resources such as application guides, FAQs, and best practice examples for applicants • Analyze application rejection trends to identify common challenges and inform future support and communication strategies • Provide feedback to refine eligibility criteria, guidelines, and communication strategies based on applicant experiences • Collaborate with internal teams to streamline application processes and develop tools like templates, checklists, and documentation • Contribute to continuous improvement of stakeholder management by identifying engagement opportunities and sharing insights from applicant interactions Required competencies and certifications • Bachelor’s Degree in Community Engagement, Arts Management, Communications, or related field • Minimum 3 years’ experience in community engagement outreach, partnership management, or programme coordination • Strong organizational skills to manage multiple stakeholders, logistics, and events effectively • Excellent communication and interpersonal skills to engage diverse stakeholders clearly and professionally • Proficiency in Microsoft Office and familiarity with digital engagement tools to support application management and reporting Other Information • Working hours: Monday - Thursday (8.30am to 6pm), Friday (8.30am to 5.30pm) • Location: Hill Street Yana Norzamry | Personnel Registration No: R26160959 | EA Licence No.91C2918
