Temporary HR Administrative Assistant (Employee Services) We are seeking a meticulous and detail-oriented individual to join our Human Resource (Employee Services) team on a temporary basis. The successful candidate will support the digitisation, verification, and management of personnel records, ensuring all HR documentation is accurate, complete, and properly maintained. Key ResponsibilitiesDocument Verification & Management• Review and verify scanned personnel documents for accuracy, completeness, and quality. • Classify and organise documents according to established categories and filing standards. • Rename electronic files in accordance with prescribed naming conventions. • Identify and resolve discrepancies, including missing, duplicate, or incorrectly scanned documents. • Maintain and update verification progress reports and tracking records. Records Digitisation & System Administration• Upload verified documents into the HR system (SuccessFactors). • Prepare, validate, and maintain document index files prior to system upload. • Monitor and maintain logs of processed, pending, and outstanding records. Data Protection & Compliance• Handle employee records with the highest level of confidentiality and professionalism. • Ensure compliance with the Personal Data Protection Act (PDPA) and organisational data protection policies. • Safeguard sensitive employee information and promptly escalate any data security concerns or risks. Administrative Support• Provide administrative and operational support to the HR team. • Assist with ad-hoc projects and duties assigned by the Assistant Director or Chief Human Resource Officer. RequirementsEducation• Diploma, Higher NITEC, NITEC, GCE ‘O’ Level, or GCE ‘A’ Level qualification. Experience & Skills• Prior experience in administrative or clerical support roles. • Proficient in Microsoft Office applications, particularly Word, Excel, and PowerPoint. • Experience with HR systems, preferably SuccessFactors, will be an advantage.
