About this role
The Company We are seeking a Contract Administrator to support our client, a well-established player in the commodities trading space. The successful candidate will play a key role in ensuring contractual accuracy and governance across the trade lifecycle, validating trade entries, managing contract terms, and liaising closely with traders, customers, and third-party partners to protect commercial value. The Role • Check trade details recorded by the trading desk against the contracts and paperwork in place, making sure everything lines up before invoices go out. • Review and approve daily trade records, keeping accurate and well-organised files at all times. • Work closely with traders to understand contract terms, spot any inconsistencies between buy and sell agreements, and help find ways to protect commercial value. • Manage contract and payment terms with external parties, including reviewing payment conditions and flagging any cash flow implications. • Draft contracts and confirmations, send standard agreements to customers, and follow up to finalise terms, looping in legal or the trading team when needed. • Issue framework agreements and keep track of communications with suppliers and customers to ensure records are submitted and updated on time. • Follow up on inventory reports from external warehouse providers and track contracts through to completion. • Prepare regular and ad hoc reports on contract status and performance, raising any issues through the right channels. • Keep accurate records, make sure credit approvals are in place, and confirm contracts are signed before goods are shipped. • Help identify ways to improve current processes and contribute to system or workflow upgrades. Your Profile • Minimum 3 years' experience in international commodity operations or international logistics. • Hands-on experience preparing and executing contracts within a trading environment. • Working knowledge of trade finance instruments (ie letters of credit), warehousing, logistics, and dry bulk/container shipment management is a strong plus. • Strong commercial acumen with solid numerical, analytical, and attention-to-detail skills. • Proficiency in Excel and Word, with prior exposure to ERP/trading systems • A proactive, organised, and disciplined approach, comfortable working independently with minimal oversight • A collaborative mindset, with the self-awareness to work effectively across trading, legal, risk, and external counterparts.
