RESPONSIBILITIES: 1. Prepare quotations, generate invoices, and update reports 2. Need to liaise directly with our overseas offices (including South Africa, India, Indonesia, and Malaysia) and co-ordinate with them after completing the deal. 3. Coordinate with the accounting department to check payment status and chase payments from the client 4. Perform administrative support duties including filling, keying data, compiling data and reports, mail sorting, organizing courier service, purchasing of stationery, etc 5. Basic accounting knowledge will be an advantage 6. Any other ad hoc duties & tasks assigned by managers 7. The person should be available at all times (including PH and weekends) and late nights to coordinate with various clients located around the globe. 8. Able to work independently with a minimum of supervision. REQUIREMENTS: • With min 1 year working experience will be an advantage • Candidates without experience but with relevant qualifications in Finance are welcome • Proficient in MS Office, especially Word, Excel, and PowerPoint. • Must be a team player but also possess the ability to work independently with moderate supervision • Good Interpersonal, good communication skills, adaptability, and positive attitude Typical duties and responsibilities • Serve as primary administrative support to operations management, including acting as second-in-command during manager absences • Coordinate and manage daily administrative operations, including scheduling meetings, maintaining calendars, and organizing documentation • Process and distribute internal/external communications while maintaining efficient filing systems • Support procurement processes by tracking inventory, ordering supplies, and maintaining vendor relationships • Prepare and compile operational reports, presentations, and business documents • Assist with recruitment and onboarding processes, including document preparation and orientation coordination • Analyze operational procedures and propose improvements for increased efficiency • Monitor and maintain office systems while ensuring smooth departmental operations
