Job Title: Project Management Assistant Contract Duration: ⏳ 12 months Location: Changi Airport Salary: 4000-4500 Eligibility: Only Singaporeans OverviewWe are seeking a highly organized and execution-focused Project Management Assistant to support the delivery and operations of the Enterprise Records System (ERS) . ERS is a major, enterprise-wide records management system aimed at strengthening compliance, improving records governance, and enabling employees to declare and retrieve records seamlessly within Microsoft 365. This is a hands-on execution role focused on project tasks such as delivery, governance, operations, and coordination with stakeholders, users, vendors, and managing documentation. Key Responsibilities Project Delivery, Execution & Coordination • Track progress across ERS workstreams, including scope, requirements finalization, vendor clarifications, and follow-up actions. • Maintain core project artifacts, such as action logs, issue trackers, and delivery lists. • Organize and support regular working sessions, preparing agendas and capturing decisions and action items. • Support documentation and refinement of user journeys and workflows. • Apply basic analytical skills to track usage, adoption, and operational metrics. Stakeholder & Governance Support • Coordinate across various stakeholders (e.g., record owners, legal/compliance teams, technical teams). • Draft and maintain records management documentation, including roles, workflows, user-facing guidelines, and Standard Operating Procedures (SOPs). • Assist with review cycles by incorporating feedback from business stakeholders. Change Management & Engagement Support • Support onboarding and change management activities, ensuring stakeholders are informed and supported through the transition. • Assist with stakeholder engagement and tracking actions. • Help develop communication materials (e.g., EDMs, FAQs, quick reference guides, slide content). Operations • Modify or create new access groups with configurable levels of access to certain records. • Assist with record owner replacement processes as part of offboarding. Specific RequirementsRequired • Strong execution and follow-through skills; able to track actions and close loops. • Highly organized with strong attention to detail and document discipline. • Clear written and verbal communication skills, particularly for capturing decisions and documenting actions. Preferred • Experience supporting enterprise-wide, compliance, governance, or platform-type projects. • Exposure to records management or digital products is an advantage. • Familiarity with Microsoft 365 tools, including Copilot. • Familiarity with conversational AI tools is beneficial. • Basic Python knowledge is an advantage (e.g., simple scripts, data handling). What Success Looks Like• ERS activities, meetings, and actions are well coordinated with clear follow-through. • Requirements, vendor clarifications, and stakeholder inputs are tracked and controlled. • Project leads and stakeholders have confidence that nothing is falling through the cracks. Additional Information• Ideal Candidate: Polytechnic level or equivalent. • Contract Duration: 1-year contract, with a possible renewal for a second year based on performance review. • Start Date: As soon as possible with the right candidate.
