Senior Executive, Faculty AffairsSalary: Up to S$3,600 per month Duration: 6 months (convertible to permanent) Location: Nanyang Avenue Working Hours: • Monday to Thursday: 8.30am – 5.45pm • Friday: 8.30am – 5.15pm About the RoleWe are seeking a detail-oriented and organised Senior Executive to support the Faculty Affairs team in managing the full spectrum of faculty administration processes. This role plays a key part in ensuring smooth coordination of faculty appointments, appraisal exercises, mentorship programmes, and related academic HR operations. Key ResponsibilitiesFaculty Appointments & Lifecycle Support • Provide administrative support for faculty appointments, including Visiting Professors, Adjunct Faculty, and other academic staff • Assist with documentation, coordination, and tracking of appointment processes in HR systems (e.g. HRIS) • Support contract administration, including renewals, extensions, and maintenance of faculty records Faculty Appraisal, Promotion & Tenure (P&T) • Support the coordination of faculty appraisal cycles and Promotion & Tenure exercises • Assist with logistics for committee meetings, including preparation of documents, schedules, and records • Maintain accurate tracking of timelines, submissions, and approval status Faculty Mentorship Programme Support • Provide administrative and coordination support for faculty mentorship initiatives at School level • Assist with mentor–mentee matching, scheduling of activities, and participation tracking • Support communication with mentors and mentees, including briefings, updates, and follow-ups • Maintain records and assist in basic reporting of mentorship activities Stakeholder Coordination • Liaise with faculty members, School leadership, College, HR, and central offices on faculty-related matters • Respond to routine queries in a timely, professional, and service-oriented manner • Support communication and follow-ups to ensure smooth workflow execution Administrative & Operational Support • Maintain accurate records, trackers, and filing systems • Assist in preparing reports, summaries, and presentation materials for internal use • Provide general administrative support to the Faculty Affairs team as required Requirements• Diploma or Bachelor’s degree in any discipline • Prior experience in a university, research institution, or public sector environment is an advantage • Strong written and verbal communication skills • High level of professionalism, discretion, and ability to handle confidential information • Strong organisational skills and attention to detail Interested candidate please click "APPLY" to begin your job search journey and submit your CV directly through the official PERSOL job application platform - GO Mobile We regret to inform that only shortlisted candidates will be notified.
