About this role
We are looking for a detail-oriented and proactive Shipping & Receiving Assistant. The successful candidate will be responsible for end-to-end shipment coordination, documentation compliance and cross-functional collaboration to ensure timely and accurate delivery of goods. Key Responsibilities Documentation & Compliance • Prepare, verify and maintain all shipping documents to ensure completeness and compliance with local and international import/export regulations. • Arrange Certificates of Origin and coordinate Singapore Chamber of Commerce endorsement. • Validate and verify all export documents for assigned products and markets. Handle all Bill of Lading (BL) matters including draft BL verification, switch BL, freight payments and Letters of Indemnity (LOI). Shipment Coordination • Coordinate shipments with customers, truckers, agents, freight forwarders and shipping lines to ensure seamless logistics execution. • Manage vessel bookings and monitor shipment schedules to meet delivery timelines. • Send shipment advice and required documentation to customers within stipulated timeframes. • Arrange dispatch of original documents upon receipt from vendors and track successful delivery to customers. • Arrange transportation and inbound deliveries from suppliers to fulfil customer demand on time. Customer Service & Communication • Respond to customer enquiries promptly, professionally and with a solutions-oriented approach. • Proactively communicate shipment status updates and flag potential delays to relevant stakeholders. • Build and maintain strong working relationships with internal teams, vendors and external logistics partners. Data Management & Reporting • Maintain accurate and up-to-date shipping records, shipment tracking logs and inventory databases. • Perform accurate data entry and clerical tasks in support of daily operations. • Review freight costs, transportation rates and logistics-related expenses to identify cost-saving opportunities. Warehouse & Operations Support • Collaborate closely with the Warehouse team to ensure material readiness ahead of scheduled shipments. • Assist warehouse personnel with general duties as directed, including stocking, stock pulling, packaging and material handling. • Demonstrate willingness to be cross-trained across warehouse and logistics functions to support operational flexibility. Job Requirements • Minimum 2 years of experience in shipping, logistics or warehouse environment. • Diploma or equivalent qualification in Logistics, Supply Chain Management or a related field preferred. • Proficient in Microsoft Office applications(Word, Excel, Outlook). • Strong attention to detail with a high degreeof accuracy in documentation. • Able to work independently and manage multiplepriorities in a fast-paced environment. • Proactive, reliable, and willing to takeinitiative. • Adaptable and open to cross-functional responsibilities. • Experience with SAP is preferred. • Able to operate a power pallet jack safely, forklift certification is an advantage. • Perform any ad-hoc duties as assigned by the Manager.
