About this role
Job Responsibilities • Manage daily office administration and ensure smooth office operations . • Oversee office facilities, equipment, and maintenance services to provide a safe and efficient working environment. • Coordinate procurement activities, including sourcing, purchasing, inventory control, and vendor management. • Liaise with external service providers, contractors, landlords, and government agencies on administrative and facility-related matters. • Monitor office supplies and maintain adequate inventory levels while ensuring cost-effective purchasing practices. • Support budget tracking, expense management, and processing of administrative invoices and payments. • Organize company events, meetings, business travel arrangements, and employee engagement activities. • Assist in workplace health, safety, and compliance matters in accordance with company policies and local regulations. • Provide administrative support to management and various departments, ensuring effective cross-functional coordination • Maintain and update administrative records, contracts, licenses, and company documentation. • Support onboarding and offboarding processes, including workspace setup, access card administration, and asset management. • Handle ad hoc administrative projects and assignments as required by management. Job Requirement • Bachelor’s degree or above in Business Administration, Administrative Management, Corporate Management, Accounting, Finance, or a related field. • Fluent in both English and Mandarin Chinese, with strong listening, speaking, reading, and writing skills. Proficiency in Taiwanese Hokkien or an additional foreign language is an advantage. • Strong capabilities in office administration, cross-functional coordination, and organizational planning, with the ability to effectively support daily operational requirements. • Proficient in Microsoft Office applications, including Excel, Word, and PowerPoint, with solid skills in document preparation, data management, and analytical reporting. • Relevant experience in administrative management, general affairs administration, executive/secretarial support, procurement coordination, or office management. Demonstrates strong analytical thinking and problem-solving abilities, with the capacity to independently manage a wide range of administrative functions. • Excellent English communication and coordination skills, with the ability to engage professionally and effectively with both internal and external stakeholders. • Highly responsible, proactive, and team-oriented, with a positive work ethic. Willing to work flexible hours when required to support project needs and ensure the successful completion of assigned task
