About this role
Job Scope • Manage end-to-end administration and coordination of training programmes, including course registration, confirmation, attendance tracking, evaluations, withdrawals, and cancellations. • Liaise with training providers, participants, and stakeholders to resolve training-related queries and ensure smooth programme delivery. • Process and verify invoices, training records, and supporting documentation accurately and within timelines. • Maintain learning management system records, user accounts, and monitor completion of mandatory e-learning programmes. • Extract, consolidate, and prepare reports using Excel, including data analysis and reporting for management review. • Create and disseminate email communications, programme announcements, and registration notices using Canva or PowerPoint. • Manage shared email inboxes and respond to enquiries in a timely and professional manner. • Coordinate training logistics, including venue bookings, room setup, participant arrangements, and refreshments. • Maintain proper documentation and recommend process improvements to enhance operational efficiency and service delivery. Requirements • Diploma, GCE A-Level, or equivalent qualification. • At least 5 years of experience in administrative, programme coordination, training administration, or operations support roles. • Strong communication, customer service, and stakeholder management skills. • Able to manage multiple priorities and work effectively under tight deadlines. • Proficient in Microsoft Office applications, especially Excel (VLOOKUP, Pivot Tables), Word, and PowerPoint. • Familiar with Microsoft Teams, Zoom, and other digital workplace tools. • Experience using HR, Learning Management, Workday, or similar enterprise systems. • Experience creating simple communications or marketing materials using Canva or PowerPoint. • Self-motivated, detail-oriented, and able to work both independently and as part of a team.
