Job Summary:Responsible for reviewing and processing applications for a new scheme. This role ensures that applications are reviewed efficiently, eligibility criteria are met, and administrative processes run smoothly. The position requires strong attention to detail, effective communication skills, and the ability to coordinate with internal and external stakeholders. Key Responsibilities: Application Processing & Evaluation • Review and assess submitted applications to ensure completeness and compliance with eligibility criteria. • Coordinate with relevant teams to clarify application details and seek additional information when required. • Maintain accurate records of application statuses, decisions, and supporting documentation. Administrative & Process Support • Manage the application workflow, including data entry, tracking, and document management. • Assist in the preparation of reports, summaries, and analysis related to application trends and outcomes. • Support the implementation of improvements to streamline the application review process. Stakeholder Communication & Engagement • Respond to inquiries from applicants, providing guidance on submission requirements and timelines. • Liaise with internal teams and external stakeholders to facilitate the evaluation process. • Assist in coordinating briefing sessions or workshops to guide stakeholders through the application process. • Build and maintain strong relationships with stakeholders, including arts and heritage organisations, community groups, and event organisers. • Provide one-on-one consultations to help applicants understand the scheme’s guidelines and tailor their proposals accordingly. • Review draft applications and offer constructive feedback to improve alignment with the scheme’s objectives and eligibility requirements. • Develop resources such as application guides, FAQs, and best practice examples to support applicants. Evaluation and Feedback • Analyse trends in application rejections to identify common challenges faced by applicants. • Provide feedback to refine eligibility criteria, guidelines, and communication strategies based on applicant experiences. Process Improvement • Collaborate with internal teams to streamline application processes and develop tools that support a smoother applicant journey. • Contribute to the continuous improvement of stakeholder management practices by identifying opportunities to enhance engagement and support. Requirements• Bachelor’s degree in Community Engagement, Arts Management, Communications, or a related field • Minimum of 5 years of experience in community engagement, partnership management, or outreach roles • Experience in outreach, engagement, or programme coordination preferred • Strong organisational skills with the ability to manage multiple stakeholders and logistics • Excellent communication and interpersonal skills to engage with diverse audiences • Proficiency in Microsoft Office and familiarity with digital engagement tools • Strong understanding of working with community organisations; experience in public engagement initiatives is an advantage • Practical experience in planning and executing community events or group activities preferred Contract duration: 3 months (possibility of extension depending on the prevailing needs and performance) Salary: $3,320 to $4,500 per month (depending on relevant experience) Working Arrangement: • Mon – Thu: 8.30am to 6.00pm • Fri: 8.30am to 5.30pm Location: Hill Street EA License No.: 96C4864 Reg.
