The Graduate Industry Traineeships (GRIT) Programme is an initiative by Workforce Singapore (WSG) that offers fresh graduates with traineeship opportunities for a period of 6 months across various sectors. The programme aims to support fresh graduates, with no prior working experience, from Universities, Polytechnics, Institutes of Technical Education (ITE) and other Educational Institutions (e.g. private universities and overseas institutions), amid uncertainties in the economy. It supports structured traineeships for trainees to gain hands-on industry-relevant experience and skills, preparing them for successful transition into full-time employment. All trainees must fulfil the following criteria: • Graduated in 2024, 2025 or 2026 from Universities, Polytechnics, Institutes of Technical Education (ITE), or other Educational Institutions (e.g. private universities and overseas institutions); or • Graduated earlier from above institutions and completed National Service in 2024, 2025 or 2026 • Applicants must have no prior working experience and must be prepared to commit to a full-time traineeship MAIN PURPOSE The main purpose of the trainee’s role is to support and enhance the company’s internal culture by organizing initiatives that promote collaboration, foster sense of belonging, and build up the One Shiseido identity. The role typically includes planning events, creating communication campaigns, conducting surveys and analysing feedback, assist in the development of wellness programs, and more. KEY RESPONSIBILITIES Reception and Hospitality Service • Manages front desk and visitor management • Assist and execute onboarding and offboarding process for hires • Access card management • Update and maintain directory • Office and seating plan maintenance • Source and manage pantry inventory • Receiving and arranging outgoing deliveries, update and maintain mailroom tracking and storage organisation • Attending to employees’ queries and feedback Events Management • Executive engagement and wellness initiatives and activities in the office that would promote workplace culture, strengthen sense of belonging across 3 business entities based out of the Singapore office • Partner HR partners in Malaysia and executive engagement and wellness initiatives and activities in the office that would promote workplace culture, strengthen sense of belonging. • Track workplace engagement activity budget Administrative Tasks • Update HR SharePoint on Workplace Engagement content that would support regional resources. • Support the Workplace Engagement team to drive and amplify people focused on initiatives and events. • Handling the administrative process of onboarding and offboarding of employees with regards to office tour, workplace engagement induction and preparation of new hires welcome pack • Able to communicate effectively on office matters, events, and able to present proposals to stakeholders REQUIREMENTS • Excellent written and verbal communication skills • High level of accuracy in literacy and numeracy • Discreet and able to maintain confidentiality • Meticulous and pays high attention to detail • Able to work independently on assigned responsibilities • Able to articulate ideas, propose changes in processes and ways of working • Strong time management skills • Strong customer service and relationship building skills • A team player with positive attitude and learning mindset. • Resilient, adaptable and resourceful. Able to multi-task and deliver results in a dynamic and fast-paced environment • Good knowledge of Microsoft Suite applications – Outlook, Teams, MS Word, PowerPoint and Excel – and Canva
